Owner statements that arrive before the questions do

The situation: owners judge a manager by two things — the phone call when something breaks, and whether the statement lands on the day it always lands. The rent roll has the numbers; the press turns it into the letter, one per owner, on the 2nd, every month.

The statement loop

The ledger stays where it is. Only the letter gets automated.

1 · Export the rent roll, paste it

Unit, rent due, collected, status — one row per unit. Property software export or a spreadsheet you maintain; there is no integration to wait for.

2 · One statement per owner, automatically

The press groups by owner — several properties become one letter — and each owner sees only their own. The template's blocks and data shape are on their own page.

3 · The note does the phone-defusing

Unit B in arrears, the vacancy on Oak, the roof work and what it cost the net — named in four sentences before the owner has to ask. Per-recipient rewriting keeps the register right for each owner from one draft.

4 · On the 2nd, pending or not

Late distribution from the bank? The line prints pending and the statement still ships — the sample report demonstrates exactly this case. Log records who received it and who read it.

Frequently asked questions

My property software already exports statements — why change?

If its statements land on time, read well on a phone, carry your brand and tell you which owner opened them, keep them. The usual reality is a software PDF you forward with an apology for the layout, or a spreadsheet you reformat per owner. The press takes the same rent roll and produces the letter version: your cover, one owner's properties only, the pending figure labeled, the open logged.

How do I make sure owners never see each other's numbers?

Structurally, not carefully. One paste of the rent roll; the press generates one statement per owner from that owner's rows only — there is no manual filtering step to forget. The failure mode of the spreadsheet route is not the math, it is the copy-paste at 11 p.m.

What if the bank feed or a distribution is late on statement day?

Ship on the date with the line marked pending, settle it in the next statement or a one-line correction. Owner-expectation reading is blunt: a visible placeholder says the process is bigger than one late transfer; a two-week-late statement says the manager is not on top of things — whether or not that is true.

Does this replace our property management system?

No, and it should not. Ledgers, maintenance tickets, leases and accounting stay where they are. The statement layer — the document owners actually receive each month — is what gets pressed, scheduled and logged. Data enters by export or paste; nothing in the daily operation changes.
